Temple Beth Sholom Miami Beach - jLAB (Religious School) Administrative Assistant
Location: Miami Beach, FL 33140
The jLAB Administrative Assistant is a full-time position (40 hr/week) that supports the operations and administrative functions of the jLAB program (Grades K-10) and the Education Department. This position is ideal for a motivated, organized, detail-oriented individual who wants to work collaboratively in an excellent learning environment.
Primary Responsibilities:
• The jLAB Administrative Assistant reports to and supports the Senior Director of Judaic Studies.
• Serves as the face of jLAB to welcome and assist parents, teachers, learners, and guests.
• Answers the phone and emails as the first jLAB point of contact
• Coordinates all logistics for jLAB including:
Ordering supplies, books, and food, interfacing with the kitchen staff regarding snacks, calendaring and room set-ups,
recording of payments, monthly credit card reconciliation for the director, attendance, registration lists, technology prep
and support, and any other event-related logistics.
• Manages the jLAB database, jLAB registration process, jLAB hosted event registration, and form creation in ShulCloud for
jLAB and other school programs as needed.
• Manages all communications to jLAB families. Works with the Communications Department to maintain jLAB section of TBS
website as well as Judaic Studies updates for the Innovative School website.
• Maintains teacher email lists and communicates with them directly as needed
• Organizes supply closet weekly and keeps records of supplies used and needed; preparing supplies and copies for
teachers
• In coordination with the Director of Finance, maintains HR documents and payroll for jLAB Faculty; onboards new Faculty
and ensures all paperwork is submitted
• Maintains substitute list and secures subs as needed
• Coordinates Wednesday pickups from North Beach Elementary
• Facilitates administration of Gift of Israel program
• Performs other administrative responsibilities as assigned by the Senior Director
• Regular hours when school is in session (September-May), with other hours as needed, include times when the jLAB
program is in session (Monday afternoons and evenings, Wednesday afternoons, Saturday mornings) with the remainder
of work hours to be negotiated. Occasional Friday evenings to support community dinners and additional times on High
Holy Days or for special programs will be required.
Qualifications:
• Skilled at multitasking and time management
• Demonstrates strong work ethic and a kind disposition
• Extremely organized and detail-oriented; skilled at coordinating logistics
• Proficient computer skills in standard business applications such as Microsoft Office and Google Suite with the ability to
quickly learn new computer applications as required including Shul Cloud
• Proficient in Zoom meeting management
• Ability to act as a positive representative of Temple Beth Sholom
